Purpose of Classification:

Maintains and processes payroll records and reports for accounting of salary/wages due, accruals, deductions and other payroll functions.



Administration Duties:

• Process all new starters and leavers including production of employment contracts, induction packs, reference requests, company handbooks, leaver letters and holiday payments.

• Process all paperwork associated with employment changes and variations to contracts.

• Create and maintain all employee personnel files, ensuring archiving of leavers and cleansing of information held in line with the Data Protection Act.

• Create and maintain up to date folders for all employee benefit information.

• Assist with any recruitment administration, including employment applications and a CV database in line with the recruitment needs.

• Create and maintain the attendance tracker.

• Maintain a monthly payroll file for all new starters, leavers, changes and bonuses.

• Support the HR team with all additional HR administration requirements.

• Any other duties as required by the business.

 

Payroll Duties:

• Maintains various payroll records such as timesheets, automatic bank deposit authorizations, payroll journals and ledgers; makes required adjustments through established procedure.

• Prepares salary and wage payrolls including deductions, accruals and the issuance and processing of timesheets.

• Monitors the account distribution of salary and wage payments including correcting prior distributions.

• Balances or reconciles assigned payroll records; resolves and adjusts discrepancies; analyzes computer reports to identify and locate sources of error.

• Gathers and analyzes payroll data; makes recommendations and prepares various payroll reports to be submitted to manager.

• Operates a variety of general office equipment such as adding machines, calculators, typewriters, copiers, fax and personal computers to access payroll information.

• Makes and checks routine arithmetic calculations; posts figures and enters data on appropriate payroll documents and/or enters data in computer system.

• Interprets, explains and recommends changes to rules and regulations as they relate to payroll.

• Posts and corrects items improperly coded; prepares and sends forms to correct the computer entry.

• Responds to queries from outside agencies such as financial or credit organizations.

 

Knowledge, Skills and Abilities:

• Knowledge of mathematical calculations and book keeping procedures.

• Knowledge of payroll processing reporting.

• Skill in both verbal and written communication.

• Experience of using SAGE is advantageous; however, extensive experience of a computerised payroll system is essential.

• Knowledge of Revenue and Customs’ current legislation e.g. NI rates, statutory payments etc.

• Strong MS Outlook, Excel and Word skills are essential.

• Flexibility with hours and peak periods of work is essential.

• Experience of HR administration is desirable although not essential.
